Add Car To Inventory

From the main menu you can select the Add Car To Inventory option. This is used for entering new vehicle information into Century's Auto Business System.

Year

Under the "Vehicle Description" heading the first required option is "Year". Simply enter the last two digits of the year that the vehicle was manufactured unless the vehicle being entered is pre 1950 in which case you will have to enter a four-digit date. Ex: "1969 " would be entered only with the numbers "69". After data entry, tab or mouse click to the next field which would be "Make".

Make

Under the "Make" field, either type the make of the vehicle into the field or click on the drop down box and choose from the list. When typing into this field it will auto populate until a match is found. If no match is found on the list it will be left blank when you tab to the next field and you will be notified to pick from the available list. If you need to add a make to the available list you must exit this window and go to the "Administration" button from the main menu.

Model

Under the "Model" field either type the model of the vehicle into the field or click on the drop down box and choose from the list. As with the "Make" field, when typing into the field it will auto populate until a match is found. If no match is found on the list it will be left blank when you tab to the next field and you will be notified to pick from the available list. If you need to add a model to the available list you must exit this window and go to the "Administration" button from the main menu.

Plates

The "Plates" field is a text field for entering the plate number for the purchased vehicle. This can be alphanumeric designation up to six numbers and/or letters. Upon entry, tab to the next field called "Features".

Features

The "Features" field has a check box list that can be populated with any or all of the available features on the list. Simply check the box next to the available options that the new vehicle has and tab to the next field.

Body

The available options for vehicle body are the body designations found on Certificates of Title such as "2DR" for two door or "4DH" for four door hard top. Choose the option that best describes the new vehicle and tab to the next field, which will be "Vehicle Identification Number".

Vehicle Identification Number

The Vehicle Identification Number (also known as the "VIN#) is a unique designation given to every vehicle that details the specific characteristics of that vehicle and uniquely identifies that vehicle from any other. Enter the VIN# into the available field and tab to "Mileage".

Mileage

This is the field where you enter the specific mileage of the new vehicle upon purchase. This is a numeric field and should not contain letters. Upon data entry, tab to the "Plate Expiration" field.

Plate Expiration

Enter the month, day and year by manually entering the date (be sure to include the forward slash between month, day and year entries), clicking on them individually with the mouse (click the month, change the month; click the day, change the day; click the year, change the year.) or click on the drop down box and choose the appropriate date from the available calendar. Enter the current expiration date (Month and Year) of the new vehicle registration and tab to the next screen.

Inspection Expiration

Enter the month, day and year by manually entering the date (be sure to include the forward slash between month, day and year entries), clicking on them individually with the mouse (click the month, change the month; click the day, change the day; click the year, change the year.) or click on the drop down box and choose the appropriate date from the available calendar. Enter the current expiration date of the new vehicle registration and tab to the next screen.

Sales Location

The sales location is a list only option. You cannot enter text into this field. Use the drop down box and choose the option available for the company location that the new vehicle is being purchased at. If the location purchased is not in the list you must exit this screen and go to the Administration button from the main menu. Upon data entry tab to "Buy Amount".

Buy Amount

The Buy Amount is the purchase price of the vehicle that is being added to inventory. Enter that amount here in US $ and then tab to "Buy Date".


Buy Date

The "Buy Date" is the date that the vehicle was purchased. Enter the month, day and year by manually entering the date (be sure to include the forward slash between month, day and year entries), clicking on them individually with the mouse (click the month, change the month; click the day, change the day; click the year, change the year.) or click on the drop down box and choose the appropriate date from the available calendar. After selecting the appropriate date, tab to "Title Type".


Title Type

The list below is available options for "Title Type". Choose the one the best describes the status of the newly purchased vehicles title.

Title Remarks

This field is used simply provided as a means to record any comments that might be needed as information about the title transfer. This field can be left blank if no comments are felt to be necessary. Tab to the next field; "Car Colors".


Car Colors

Using the drop down box you can click on the color(s) for the new vehicle. You can choose more than one color if necessary. After choosing the car color(s) tab to the next field, "Stock Id".

Stock Id

The stock Id field is used for recording the individual dealers' Stock Id numbers that are to be associated with the vehicle. It is not a required field but is useful for tracking the vehicle through the inventory system. Tab to the "Buyer" field.

Buyer

The buyer field has a drop down list of all buyers currently available in the database. Choose your individual user Id from the available list. Tab to the "Source Information" box.


Source Information

The "Source Information" Field is used to track the source of each new vehicle received into inventory. There are two options available for this application in that you can choose a Dealer Source from the available database list or enter the information from an individual.


Dealer Source

To choose a dealer source from the database click on the "Find Dealer Source" button at the bottom of the Source Information field. A drop down list will appear that you can choose the dealer from or add a new one to the list.

To choose from the list simply double click on the dealer that you wish to use as the source of the vehicle or click on the dealer that you wish to use as the source of the vehicle and click the "OK" button in the bottom, right hand corner of the form. If the Dealer Source is not currently in the database you may add a new one by clicking on the "Add New Dealer" button at the bottom of the window.

The Add New Dealer window allows you to add new dealers into the database permanently so that if you find cause to purchase from them again, all of their information will be available for the next purchase. Enter the appropriate information such as dealer name, address, phone number and fax number if available. Click "OK" button at the bottom of the window to save the new buyer information into the database. Clicking "OK" will automatically take you back to the "Add New Car Inventory" window and will auto populate the Source Information/Name field.

Find Auction Source

In the event that the new vehicle was purchased from an auction then the "Find Auction Source" tab must be used. Click on the "Find Auction Source" button and the following window comes up.

You may at this time either choose from the available list by "double-clicking" on the appropriate line item or you may choose to add a new auction to the list. To add a new auction to the list click on the "Add New Auction" button at the bottom right hand side of the window. The following window will appear.

Enter the name of the Auction, Address, Phone and Fax numbers if available. Be sure to "tab" through each field, as hitting the "enter" key in this process will automatically enter whatever information you have typed in so far.

Accounting Information

Remember to go into "Accounting" and "Write Check" to write a check for this car when you make a payment for it."
